Booking Calendar Administration
Create New Booking Calendar | Administrate Booking Calendar | Review Bookings Administrate Pages
The idea behind this module is to create an area that customers can go to book appointments with you on your web
site. If you click on "Booking Calendar Administration" in the "Admin Suite" then you will be directed to the
window shown below.

The first option in "Booking Calendar Administration" is "Create New Booking Calendar", which if you click on
will direct you to the window shown below.

The first thing you need to do is fill in the "Calendar Title" and the "Calendar Description", which should
accurately explain what the appointment that the customer is booking is for. If you would like to use the default
format for this booking, then click "Yes" for "Use Default Booking Form", otherwise, click "No" and you will be
taken to the formatting window shown below (if you selected "Yes" the next couple steps will be skipped).
Note: If you selected "Yes" then you will be taken to a confirmation window, where you should click on
the "Click Here" link, which will take you to the "Edit Time Blocks" window.

First you must fill in the name of the form in the "Form Title" text field. This is the title that will be
displayed at the top of the appointment submission form. "Form Description" will be the description displayed
under the "Form Title". This description should contain any directions that need to be given to your clients
as to how to fill out the booking form. The "Confirmation Message" will be displayed to the user after they
have submitted the form. If you would like the results of the booking form e-mailed to you, then you should
select "Yes" for the "Mail Results" option and specify the e-mail address you would like to send the results to
in the "Mail Recipient" text field. Once you have filled out these fields, click on the "Next" button and you
will be taken to the window shown below.

From this window, you can add fields to your booking form as well as edit the form details you have already
specified. To add a new form field, fill in the "Field Name" with the name of the field and then select the
type of field you would like it to be (the form field types are explained in detail beside their names in
this window). Then you must fill in the "Sort Order", which will specify the order in which the form fields
will be displayed and the "Field Help", which will be a small text area shown beside the form field allowing
you to provide more description as to what should be put in the field. Once you have filled out this form,
click on "Add Field". If the field you just added was either a "Drop Down Box" or a "Radio Button", then you
will be taken to the window shown below as they need their values specified.

To add a new value, type the name of the value into the "Value" text field, put it's sort integer into the
"Sort Order" field and click "Add Value". Once you have added all the possible values for this form field,
you can either click on "Add Another Field" to add another form field to this booking form, or you can click
on "Done with Booking Form" which will take you back to the main booking menu.

The next option in "Booking
Calendar Administration" is "Administrate Booking Calendar", which if you click on will take you to the window
shown below.

From this window you can edit your booking forms. Show is a list of the different booking calendars you have
created. A calendar that has been approved is shown with a highlighted checkmark , a rejected calendar with a
highlighted x-mark and one that is pending approval with a highlighted question mark .
To switch between these three states, click on one of the two darkened symbols. If you click on the "Edit" button
then you will be taken to the window shown below.

From here you can edit the name and description of the calendar you selected. When you are done editing these
two fields, click the "Save" button and then click on "Admin Booking Calendar". This will take you back to the
previous window. To allocate time blocks to this booking calendar, click on the "Edit Time Blocks" link to the
far right of the appropriate listing and you will be taken to the window shown below.

This window allows you to specify times that are available for appointments to be booked. To enter a new time
block you must first select a "Start Date" and "End Date" for which the specified time periods will be allotted
daily. Next, enter the "Start Time" and "End Time" for which the blocks will be available between. Next, enter
the "Time Block Size", which will break up the daily time period into blocks of this long (if there is any
remaining time left smaller than the block size, the last bit will be cut off). "Available Slots/Time Block"
specifies how many appointments you can take during each block (ie if you had two doctors you would set this
to 2 as you would be able to take to patients during each block). When you have finished selecting the values
for all these drop down lists, click "Save" and the page will be refreshed with the new time block added to the
list on the left of the window. To edit one of the existing time blocks, click on the "Edit" link to the right
of the block listing and you will be able to change the details in the same way as you originally created the
time block. When you are done creating and editing time blocks, click on "Admin Booking Calendar" in the top
left of the window to return to "Administrate Booking Calendar". If you would like to edit the form details
click on "Edit Form" and you will be directed to the window shown below.

From this window you can change all the form details and fields that you created or you can change the forms
that were created when you chose "Yes" for "Use Default Booking Form". If you change any of the text areas,
be sure to click "Save" when you are done. If you would like to edit one the form fields, click on it's
appropriate "Edit" button and it will be shown on the right hand side of the window (this editing will be done
in the same way as when the form fields were created -- detailed above). If you would like to delete one of the
current form fields, click on the appropriate "Remove" button. Click on "Booking" when you are done editing this
booking form and you will be returned the main booking menu.

The next option in "Booking Calendar Administration"
is "Review Bookings". Click on this link and you will be directed to the window shown below.
Review Bookings

This section of the booking administration allows you to view all the appointments that have been made by users
on the front end of your site. From this window, click on the "Browse" link of the booking calendar you would
like to view the bookings for and you will be taken to the window shown below.

First select the dates for which you would like to view the appointments that have been made using the "Start
Date" and "End Date" fields. Next, choose the format you would like them shown in, either "Browse", which is
best for viewing on the site, or "Download", which creates a downloadable text file with all the appointment
listings. Finally, choose the "Status" which will filter which appointments are in the list (this only applies
if you have the pay-to-post module running with this module, otherwise they are all approved). Once you have
made these selections click on the "Submit" button. If you selected "Browse" for your output format then the
page will be refreshed with the list of appointments that meet the status requirement you have made. If you
selected "Download" then you will be taken to a confirmation screen. To save this file, right click on the
"here" link and select "Save Target As..." or you can view the file and then save it by simply clicking on the
"here" link. When you are finished, click on "Booking".

The last option in "Booking Calendar Administration" is
"Administrate Pages", which if you click on will take you to the window shown below.
Administrate Pages

The idea behind this window is to make changes to the format of the booking pages. If you need to make any changes, click
on the appropriate "Edit" button, which will take you to the window shown below.

The two options (page name and title image) are for naming your page and you should choose one of them.
If you prefer to have an image for the title instead of the text for the page, you can click on the "Browse"
button and choose an image from your hard drive.
Note that a title image replaces the "Page Name" in the page content, but not on the window title.
Next you need to type your "Meta tags".

When you entered all your information, don't forget to click "Submit"!!!!!
Once you are done changing the page setup you can either click on "Page List" to edit the page setup of the other pages
in this module or you can click on "Admin Suite".
